At BEK NUTRITION & HEALTHYLIFE B.V., we take your privacy and the security of your personal data seriously. Your personal data are processed and safeguarded in compliance with applicable privacy legislation, including the General Data Protection Regulation (GDPR).

This Privacy Notice explains which data we collect from you when you receive services from our clinic or visit our website, the purposes for which we use those data, and the rights available to you.

2. Personal Data We Process

In order to provide you with the best possible coaching and wellness services, we process the following personal data:

• General data: your first name, surname, gender, date of birth, address, telephone number and email address.

• Financial data: bank account details required for invoicing.

• Special category personal data (health data): your weight, height, lifestyle habits, sleep routine, physical complaints, medical history that may prevent the use of devices (such as a pacemaker, pregnancy or allergies) and, only where you have given explicit consent, before-and-after photographs for monitoring your progress.

3. Purposes and Legal Bases for Processing

Your personal data are processed on the basis of performance of our agreement, the legal obligations to which we are subject and your explicit consent (in particular for your health data and visual material), for the following purposes:

• Service and communication: scheduling your appointments, carrying out payment and invoicing transactions, and communicating with you smoothly about the process.

• Safety and coaching process: using wellness devices without endangering your physical safety and creating a personalised lifestyle/nutrition programme.

• Official records: keeping financial documents and records required under Dutch tax and accounting legislation.

• Marketing: sharing your anonymised before-and-after photographs as inspirational content.

4. Data Retention Period

We do not retain your personal data for longer than is necessary for the purposes for which they were collected:

• Your client and health file: in order to monitor the quality of our coaching and wellness services and protect our legal rights, it is securely retained while you receive services and for 3 years after your last session, after which it is permanently destroyed.

• Financial data: invoices and payment records are retained for 7 years in accordance with the legal requirements of the Dutch Tax and Customs Administration (Belastingdienst).

5. Sharing Personal Data with Third Parties

BEK NUTRITION & HEALTHYLIFE B.V. never sells your personal data for commercial purposes. Your data are shared with relevant service providers only where this is strictly necessary to provide our services or comply with a legal obligation (for example, our accounting software, email infrastructure or payment systems). Your health and lifestyle data and client file are not shared with any third party, including general practitioners, hospitals or insurers, without your prior written and explicit consent.

6. Cookies and Website Use

Our website uses technical, functional and anonymised analytical cookies to improve visitors’ experience. When you visit our website, general visitor data that do not directly identify you may be collected (for example, an anonymised IP address and browser type). Marketing or tracking cookies are used only if you give consent through the cookie banner when visiting the website.

7. Data Security

We take appropriate technical and organisational security measures to prevent misuse, loss, unauthorised access or disclosure of your data. All health and client data are stored in encrypted digital environments and secure systems.

8. Your Rights under the GDPR

You have the following rights in relation to your personal data:

• The right to access, view and request a copy of your data.

• The right to request correction of inaccurate or incomplete data.

• The right to request erasure of your data.

• The right to withdraw consent you previously gave at any time.

• The right to request that your data be transferred to another organisation.

9. Right to Lodge a Complaint

If you are dissatisfied with the way your data are processed, we ask that you contact us first. If no solution is reached, you always have the right to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
